This project was not built or released, but that was never the point. It was a strategic pitch, designed to demonstrate how our team could rethink business expense management for modern SMBs (Small & Medium Businesses). Through high-fidelity designs and a functional Protopie prototype, we told the story of an intuitive and secure spend experience-for admins and employees alike.
The Problem
Businesses often struggle with lack of real-time visibility into team spending, difficulty in setting and enforcing spending limits, and cumbersome expense tracking. This leads to potential overspending, reconciliation issues, and a lack of clear financial insights.
Market Analysis: The Growing Need for Smarter Team Spend Management
The global spend management platform market was valued at USD 15.9 billion in 2021 and is projected to reach USD 38.1 billion by 2030, growing at a CAGR of 10.3%. Cloud-based spend management platforms are witnessing the highest growth, with a projected CAGR of 10.7% from 2022 to 2030.
There is a clear and accelerating trend of non-finance teams taking direct control of B2B spending. This shift is driven by the adoption of digital payment solutions, corporate cards, and embedded finance tools that empower teams outside traditional finance departments to make purchases and manage budgets autonomously. For instance, In 2025, over half (52.3%) of B2B organizations increased their marketing budgets, with demand generation and digital marketing receiving the strongest boosts. This indicates that marketing and other non-finance functions are not just spending more, but are also being entrusted with larger, more flexible budgets.
The proliferation of spend across different teams has led to a spike in out-of-policy claims. Only 43% of companies report high levels of policy compliance in 2023, down from 57% in 2021, indicating that unmanaged or "long-tail" spend-often originating from non-finance teams-remains a major challenge.
The Concept
A mobile app that helps businesses issue, manage, and monitor multiple cards across users, empowering teams to spend securely, manage, and track their spending efficiently.
We imagined two user types:
Admins who can issue cards, set limits, view analytics, and manage users
Employees who can use their cards, request changes, view balances, and track cashback
The vision, visualized
Add cards
Switch between cards
Analyse expenses
Track spends
Make payments
Manage cards and users
Employee experience
